Customers and team

The people you bill, the people you work with, and running more than one business from one login.

Customers

A customer is everyone you bill, kept once rather than retyped onto every invoice: name, email, and the address details an invoice needs. The list is searchable by name or email, which is the point of keeping them.

Customers are deduplicated by email within your business, because there is no account behind a customer and the address is the only stable identity available. The same address at two of your businesses is two customers with no relationship.

Editing a customer changes what you will use next time. It does not rewrite invoices you have already issued — those froze the details they were issued with, along with everything else.

You can also keep your own notes on a customer. They are yours; the customer never sees them.

Archiving, rather than deleting

Deleting a customer is refused once they have been invoiced, which on its own means a customer list only ever grows. Archive them instead.

Archiving means “stop offering them” — they drop out of the list you pick from when raising an invoice. Everything else is untouched: their invoices stand, and unpaid ones are still chased. Restore them and they are offered again.

Chasing, per customer

Unpaid invoices are followed up automatically. There is always one client somebody handles by phone, so chasing can be turned off on their record while everyone else’s invoices are still chased. See Chasing payment.

Your team

Bring in the people you work with and give them a sign-in of their own, rather than sharing yours. There are two roles:

  • Admin — runs the business. Settings, Stripe, tax, team, and every invoice.
  • Staff — a narrower door: the day-to-day work, without the settings that decide how the business bills.

Invitations

You invite someone by email. The invitation is pending until they accept it, and until then they can do nothing. If you invite the wrong address, the invitation is pending rather than active, so nothing has been given away.

Someone who already has a Paylent login can accept an invitation with it. They do not need a second account.

More than one business

One login can hold several businesses, switched from the sidebar. Each has its own invoice numbering, currency, tax settings, customers and team, and your role can differ between them: admin of your own, staff of somebody else’s.

Nothing is shared between businesses. That is deliberate — it is what makes a separate business the right answer when you need a second currency or a second numbering sequence.
